This Extenuating Circumstances Policy explains how cancellations are handled when unforeseen events beyond your control arise after booking and make it impracticable or illegal to complete your reservation.

When this Policy allows for cancellation, it controls and takes precedence over the reservation’s cancellation policy. Renters that are impacted by an event covered by this Policy can cancel their reservation and receive, depending on the circumstances, a cash refund, travel credit, and/or other consideration. Agencies that are impacted by an event covered by this Policy can cancel without adverse consequences, but, depending on the circumstances, their calendars may be blocked for the dates of the cancelled reservation.

This Policy uses the term “Event” to refer to the following situations that occur after booking, are unforeseen at the time of booking, and prevent or legally prohibit completion of the reservation.

  • Changes to government travel requirements. Unexpected changes to visa or passport requirements imposed by a governmental agency that prevent travel to the destination for picking-up the vehicle. This doesn’t include lost or expired travel documents or other personal circumstances relating to a renter's authorization to travel.
  • Declared emergencies and epidemics. Government declared local or national emergencies, epidemics, pandemics, and public health emergencies. This does not include diseases that are endemic or commonly associated with an area—for example, malaria in Thailand or dengue fever in Hawaii.
  • Government travel restrictions. Travel restrictions imposed by a governmental agency that prevent or prohibit traveling to, staying at, or returning from the Listing location. This does not include non-binding travel advisories and similar government guidance.
  • Military actions and other hostilities. Acts of war, hostilities, invasions, civil war, terrorism, explosions, bombings, rebellions, riots, insurrection, civil disorder, and civil unrest.
  • Natural disasters, acts of God, large-scale outages of essential utilities, volcanic eruptions, tsunamis, and other severe and abnormal weather events. This does not include weather or natural conditions that are common enough to be foreseeable in that location—for example, hurricanes occurring during hurricane season in Florida.

Everything else. This Policy only allows for cancellations for the Events described above. Everything else is excluded. Examples of situations that this Policy does not allow cancellations for include: unexpected disease, illness, or injury; government obligations like jury duty, court appearances or military duties; travel advisories or other government guidance (that fall short of a travel ban or prohibition); cancellation or rescheduling of an event for which the reservation was made; and transportation disruptions unrelated to a covered Event like road closures, as well as flight, train, bus and ferry cancellations that prevents you for picking-up the vehicle. If you cancel a reservation in these cases, the amount refunded will be determined by the cancellation policy that applies to the reservation.

If we notify you or publish information confirming that this Policy applies to your reservation, please follow the cancellation instructions that we provide. When we have notified you or published information about how this Policy applies, you should have the option to cancel under this Policy by going to your Reservation page and canceling the impacted reservation. If you believe this Policy applies to your reservation, but we have not notified you or published information about the Event, please contact us to cancel your reservation. In all cases, you should be prepared to provide documentation that shows how the Event has impacted you or your reservation.

If you have questions, please contact us.

Veyhic is, at its core, an open community. Our community includes millions of people from virtually every country on the globe. It is an incredibly diverse community, drawing together individuals of different cultures, values, and norms.

The Veyhic community is committed to building a world where people from every background feel welcome and respected. This commitment rests on two foundational principles that apply both to Veyhic’s Agency Managers and Renter: inclusion and respect.

Our shared commitment to these principles enables all members of our community to feel welcome on the Veyhic platform no matter who they are, where they come from, how they worship, or whom they love. Veyhic recognizes that some jurisdictions permit, or require, distinctions among individuals based on factors such as national origin, gender, marital status or sexual orientation, and it does not require Agency Managers to violate local laws or take actions that may subject them to legal liability. Veyhic will provide additional guidance and adjust this nondiscrimination policy to reflect such permissions and requirements in the jurisdictions where they exist.

While we do not believe that one company can mandate harmony among all people, we do believe that the Veyhic community can promote empathy and understanding across all cultures. We are all committed to doing everything we can to help eliminate all forms of unlawful bias, discrimination, and intolerance from our platform. We want to promote a culture within the Veyhic community—agencies, renters and people just considering whether to use our platform—that goes above and beyond mere compliance. To that end, all of us, Veyhic employees, Agency Managers and Renters alike, agree to read and act in accordance with the following policy to strengthen our community.

  • Inclusion – We welcome people of all backgrounds with authentic hospitality and open minds. Joining Veyhic, as a Agency Manager or Renter, means becoming part of a community of inclusion. Bias, prejudice, racism, and hatred have no place on our platform or in our community. While Agencies are required to follow all applicable laws that prohibit discrimination based on such factors as race, religion, national origin, and others listed below, we commit to do more than comply with the minimum requirements established by law.
  • Respect – We are respectful of each other in our interactions and encounters. Veyhic appreciates that local laws and cultural norms vary around the world and expects Agency Managers and Renters to abide by local laws, and to engage with each other respectfully, even when views may not reflect their beliefs or upbringings. Veyhic’s members bring to our community an incredible diversity of background experiences, beliefs, and customs. By connecting people from different backgrounds, Veyhic fosters greater understanding and appreciation for the common characteristics shared by all human beings and undermines prejudice rooted in misconception, misinformation, or misunderstanding.

As a general matter, we will familiarize ourselves with all applicable federal, state, and local laws that apply to transporation. Some jurisdictions may have additional legal requirements that expand or limit the civil right protections of the user community. Agencies are required to comply with such legal requirements. Agencies should contact Veyhic customer service if they have any questions about their obligations to comply with this Veyhic Nondiscrimination Policy. Guided by these principles, our Agency community will follow these rules when considering potential Renters:

  • Race, Color, Ethnicity, National Origin, Religion, Sexual Orientation, Gender Identity, or Marital Status
    • Agencies may not: Decline a booking based on race, color, ethnicity, national origin, religion, sexual orientation, gender identity, or marital status. Impose any different terms or conditions based on race, color, ethnicity, national origin, religion, sexual orientation, gender identity, or marital status. Post any listing or make any statement that discourages or indicates a preference for or against any Renter on account of race, color, ethnicity, national origin, religion, sexual orientation, gender identity, or marital status.
  • Gender Identity

Veyhic does not assign a gender identity to our users. We consider the gender of individuals to be what they identify and/or designate on their user profiles, and we expect our Veyhic community to do the same. This includes respecting the pronouns (he/him, she/her, they/them, etc.) any users within the community identify themselves with.
      Agencies may not:

    • Decline a booking from a Renter based on gender identity.
    • Impose any different terms or conditions based on gender.
    • Post any listing or make any statement that discourages or indicates a preference for or against any Renter on account of gender.
  • Familial Status. Agencies may not:
    • Impose any different terms or conditions or decline a reservation based on the Renter's familial status, where prohibited by law.

Agencies should keep in mind that no one likes to be turned down. While an Agency Manager may have, and articulate, lawful and legitimate reasons for turning down a potential Renter, it may cause that member of our community to feel unwelcome or excluded. Agencies should make every effort to be welcoming to Renters of all backgrounds.

In communicating any such restrictions, we expect Agencies to use clear, factual, non-derogatory terms. Slurs and insults have no place on our platform or in our community.

If a particular listing contains language contrary to this nondiscrimination policy, the Agency will be asked to remove the language and affirm his or her understanding and intent to comply with this policy and its underlying principles. Veyhic may also, in its discretion, take steps up to and including suspending the Agency from the Veyhic platform.

If the Agency improperly rejects Renters on the basis of protected class, or uses language demonstrating that his or her actions were motivated by factors prohibited by this policy, Veyhic will take steps to enforce this policy, up to and including suspending the Agency from the platform.

As the Veyhic community grows, we will continue to ensure that Veyhic’s policies and practices align with our most important goal: To ensure that Renters and Agencies feel welcome and respected in all of their interactions using the Veyhic platform. The public, our community, and we ourselves, expect no less than this.

The Nondiscrimination Policy applies to all parts of the Veyhic business. We recognize there are additional considerations that need to be made for varied offerings in the Veyhic Community.

These terms and conditions govern Veyhic’s policy for Renter refunds (“Renter Refund Policy”) and the obligations of the Agency associated with the Renter Refund Policy. The Renter Refund Policy applies in addition to Veyhic’s Terms of Service (“Veyhic Terms”). The Renter Refund Policy is available to Renters who book and pay for a Vechicle through the Veyhic Platform and suffer from an Issue (as defined below). The Renter’s rights under this Renter Refund Policy will supersede the Agency’s cancellation policy.

All capitalized terms shall have the meaning set forth in the Veyhic Terms or Payments Terms unless otherwise defined in this Renter Refund Policy.

By using the Veyhic Platform as an Agency or Renter, you are indicating that you have read and that you understand and agree to be bound by this Renter Refund Policy.

A “Issue” means any one of the following:

  • the Agency (i) cancels a booking shortly before the scheduled start of the booking, or (ii) fails to provide the Renter with the Vehicle, Accessory, Service or Protection (collectively 'Vehicle Rental Service') as specified in the Official Rental Contract.
  • the Listing’s description or depiction of the Vehicle Rental Service is inaccurate with respect to:
    • Vehicle brand, model, equipments and characteristics
    • Quality of accessory, service and protection
  • at the pick-up of the Renter’s booking, the Vehicle: (i) is not generally clean and sanitary; (ii) contains safety or health hazards that would be reasonably expected to adversely affect the Renter’s driving of the Vehicle in Veyhic’s judgment

What qualifies as an Issue is described in more detail in the Renter Refund Policy Help Center article.

If you are a Renter and suffer an Issue, you are covered by this policy as follows:

  • Up to 24 hours after pick-up. If you report an Issue up to 24 hours after pick-up, we agree, at our discretion, to either (i) reimburse you the amount paid by you through the Veyhic Platform (“Total Fees”), or (ii) use our reasonable efforts to help you find another Vehicle which is reasonably comparable to or better than the Vehicle described in your original booking in terms of brand, model, general characteristics and equipments. Veyhic shall decide whether an issue reported by a Renter qualifies as an Issue, whether to reimburse or rebook a Renter who suffers an Issue, and whether an alternate Vehicle is comparable or better.
  • More than 24 hours after pick-up. If you report an Issue more than 24 hours after pick-up, we agree, at our discretion, to either (i) reimburse you up to the Total Fees depending on the nature of the Issue suffered, or (ii) use our reasonable efforts to help you find and book another Vehicle which is reasonably comparable to the Vehicle described in your original booking brand, model, general characteristics and equipments.

Veyhic’s decisions under the Renter Refund Policy are final and binding on Renters and Agencies but do not affect other contractual or statutory rights you may have. Any right that you may have to initiate legal action remains unaffected.

To submit a valid claim for an Issue and receive the benefits with respect to your booking, you are required to meet each of the following conditions:

  • you must be the Renter that booked the Vehicle;
  • you must report the Issue to us in writing or via telephone within 24 hours of discovering the existence of the Issue, and you must provide us with information (including photographs, videos, or other written or tangible evidence) about the Vehicle and the circumstances of the Issue;
  • you must respond to any requests by us for additional information or cooperation on the Issue within the time specified by Veyhic;
  • you must not have directly or indirectly caused the Issue (through your action, omission or negligence);
  • unless otherwise specified by Veyhic or Veyhic advises you that the Issue cannot be remediated, you must use reasonable efforts to try to remedy the circumstances of the Issue with the Agency; and
  • in order to receive a reimbursement of Total Fees or assistance with booking an alternative Vehicle, you must agree to return the Vehicle. If you choose to keep the Vehicle, you may still qualify for a partial refund at Veyhic’s discretion as described in this policy (regardless of whether you reported the Issue up to 24 hours after pick-up).

If you are an Agency, you are responsible for ensuring that the Vehicles Rental Services you list on the Veyhic Platform are adequately and accurately described in the Listing description, safe and clean, and do not present a Renter with Issues, as specified in these terms and in the Renter Refund Policy Help Center article. During a Renter’s Vehicle Rental Service, Agencies should be available, or make a third-party available, in order to try, in good faith, to resolve any Issues or other Renter issues.

If you are an Agency, and if (i) Veyhic determines that a Renter has suffered an Issue related to a Vehicle Rental Servicelisted by you and (ii) Veyhic either reimburses that Renter (up to their Total Fees) or provides an alternative Vehicle to the Renter, you agree to reimburse Veyhic up to the amount paid by Veyhic within 30 days of Veyhic’s request. If the Renter is provided to an alternative Vehicle, you also agree to reimburse Veyhic for reasonable additional costs. You authorize Veyhic to collect any amounts owed to Veyhic by reducing your Payout or as otherwise permitted pursuant to the Payments Terms.

As an Agency, you understand that the rights of Renters under this Renter Refund Policy will supersede your selected cancellation policy. If you dispute the Issue, you may notify us in writing or via telephone and provide us with information (including photographs or other evidence) disputing the claims regarding the Issue. In order to dispute an Issue, you must use reasonable and good faith efforts to try to remedy any Issue with the Renter unless Veyhic advises you that the Issue cannot be remediated or the Renter has returned the Vehicle.

No Assignment/No Insurance. This Renter Refund Policy is not intended to constitute an offer to insure, does not constitute insurance or an insurance contract, does not take the place of insurance obtained or obtainable by the Renter, and the Renter has not paid any premium in respect of the Renter Refund Policy. The benefits provided under this Renter Refund Policy are not assignable or transferable by you.

Modification or Termination. Veyhic reserves the right to modify or terminate this Renter Refund Policy, at any time, in its sole discretion. If Veyhic modifies this Renter Refund Policy, we will post the modification on the Veyhic Platform or provide you with notice of the modification and Veyhic will continue to process all claims for Issues made prior to the effective date of the modification according to the then applicable policy.

In order to build a platform of trust, we need to ensure that reviews on Veyhic are useful, informative, and do not expose our community to harm. Therefore, Veyhic expects that all reviews adhere to the following:

  1. Reviews should not violate our content policy.
Some content is never allowed on Veyhic. Read Veyhic’s Content Policy.

  2. Reviews should be unbiased.
Reviews are most helpful when they provide unbiased information. Therefore, we don't allow individuals or entities who own or are affiliated with a listing to post reviews of their business, nor do we allow individuals who are confirmed to offer competing listings to post reviews of their direct competitors.

You are not allowed to incentivize positive reviews, to use the threat of a negative review to manipulate a desired outcome, or to influence another’s review with the promise of compensation.

You are also not allowed to accept fake reservations in exchange for a positive review, use a second account to leave yourself a review, or coordinate with business partners to get positive reviews.

  3. Reviews should be relevant.
Keep your reviews relevant to Veyhic and your Vehicle Rental Service. Other Agencies and Renters are reading your reviews to learn about the Agency and listing. Reviews that are off-topic are distracting and don’t help our Renters make informed booking decisions. For this reason, reviews should focus on your interactions with other community members and your experience of the Vehicle Rental Service, Renter or Agency.

To keep reviews relevant, we recommend avoiding the following:
    • Commentary about a person’s social, political or religious views
    • Profanity, name calling, and assumptions about a person’s character or personality
    • Content that refers to circumstances entirely outside of another’s control
    • Content about services not related to Veyhic (ex. an airline, restaurant, etc)
    • Commentary about past Veyhic reservations, Agencies, or Renters, or about the Veyhic product where it does not relate to the listing, Agency or Renter you are rating

When we receive a report of a review that violates this policy, we may remove the review from our platform. Repeated violations may lead to suspension or permanent deactivation of responsible account(s).

Pixel tags, web beacons, and tracking urls are tiny graphic images and/or small blocks of code placed on website pages, ads, or in our emails that allow us to determine whether you performed a specific action. When you access these pages, or when you open an email, let us know you have accessed the web page or opened the email. These tools help us measure response to our communications and improve our web pages and promotions.

We collect many different types of information from server logs and other technologies. For example, we collect information about the device you use to access the Veyhic Platform, your operating system type, browser type, domain, and other system settings, as well as the language your system uses and the country and time zone where your device is located. Our server logs also record the IP address of the device you use to connect to the Internet. An IP address is a unique identifier that devices require to identify and communicate with each other on the Internet. We may also collect information about the website you were visiting before you came to the Veyhic Platform and the website you visit after you leave the Veyhic Platform. These tools help us improve user experience and deliver our services.

We may use device-related information to authenticate users. Third parties, including Facebook, place technologies such as pixels and SDKs on the Veyhic Platform. These technologies (1) help us analyze how you use the Veyhic Platform, such as by noting the third party services from which you arrived, (2) market and advertise Veyhic services to you on the Veyhic Platform and third party websites, (3) help us detect or prevent fraud or conduct risk assessments, and (4) collect information about your activities on the Veyhic Platform, other sites, and/or the ads you have clicked on. For example, to help us better understand how people use the Veyhic Platform, we work with a number of analytics partners, including Google Analytics. To prevent Google Analytics from using your information for analytics, you may install the Google Analytics Opt-Out Browser by clicking here.

Third parties, including Facebook, may also use such tracking technologies to collect or receive information from the Veyhic Platform and elsewhere and use that information to serve ads that they believe are most likely to be of interest to you and measure the effectiveness of their ads both on the Veyhic Platform and on other websites and online services. Targeting and advertising cookies we use may include Google, and other advertising networks and services we use from time to time. See here for information on how Google manages data in its ad products. For more information about targeting and advertising cookies and how you can opt out, you can visit the Network Advertising Initiative’s opt-out page, the Digital Advertising Alliance’s opt-out page, or http://youronlinechoices.eu. To opt out of Google Analytics for display advertising or customize Google display network ads, you can visit the Google Ads Settings page. To the extent advertising technology is integrated into the Veyhic Platform and you opt-out of tailored advertising, you may still receive advertising content. In that case, the advertising content will just not be tailored to your interests. Also, we do not control any of these opt-out links and are not responsible for the availability or accuracy of these mechanisms. Users can opt-out of the collection and use of information for ad targeting by updating their Facebook account ad settings and by contacting [email protected] with a description of your request and validation information.

The Veyhic Platform may use social plugins provided and operated by third parties, such as Facebook’s Like Button.
